The Opportunity

We are looking for a highly organized and detail-oriented Outreach Operations Assistant to power our recruiting engine. In this role, you will be the backbone of our candidate engagement process, ensuring that our outreach campaigns are executed with surgical precision. This is a process-driven position perfect for someone who loves structure, excels at managing workflows, and thrives in a fast-paced, US-based remote environment. You won’t be responsible for sourcing or copywriting; instead, your mission is to ensure every message reaches the right person at the right time using our established templates and systems.


What Your Day-to-Day Will Look Like

  • Campaign Execution: Launch and manage outbound email and LinkedIn outreach sequences in Gem using predefined templates and team instructions.
  • Workflow Management: Select and deploy specific campaigns to candidate lists requested via Slack, ensuring 100% delivery accuracy.
  • Data Integrity & Auditing: Conduct weekly audits of email campaigns to handle bounces, update contact records, and log LinkedIn responses in internal systems.
  • Monitoring & Tracking: Maintain real-time visibility on campaign status and special cases within shared documentation and Coda.
  • Communication Hub: Actively monitor Slack for outreach requests and updates, flagging any unusual situations or unclear instructions to the team immediately.
  • Process Maintenance: Apply simple judgment to prior candidate history to determine the appropriate timing for follow-ups in accordance with existing protocols.


What You Bring

  • Unmatched Attention to Detail: You have a "measure twice, cut once" mentality and rarely let a tracking error or typo slip through.
  • Process Mastery: You are comfortable managing high-volume, repetitive workflows and following SOPs precisely.
  • Technical Savvy: Proficiency with Gmail and Slack; ability to quickly learn tools like Gem (sequencing) and Coda (project tracking).
  • Reliability: A strong sense of accountability and the ability to prioritize tasks based on urgency.
  • US Shift Compatibility: Availability to work US time zone hours is required (prior experience in this schedule is preferred).
  • Communication: Strong written comprehension and a willingness to ask questions or escalate issues when things don't look right.


Bonus Points if:

  • You have a background in recruiting, sourcing, or recruiting operations.
  • You have prior experience with outreach sequencing software or CRM-style tools.
  • You are familiar with LinkedIn messaging etiquette and candidate communications.
  • You have a history of success in highly process-driven administrative roles.

Depending on the client, there are sometimes 2 additional steps:

  • Step 5 15-min Prep Call: We’ve got your back. Before the final round, your Recruiter will hop on a quick call to coach you, share insider tips, and ensure you’re 100% ready.
  • Step 6 Client Interview: You’ll meet the client to discuss how you’ll help them scale and succeed. Bring your metrics and be on your A-game - this is your last chance to make a great first impression!
