The Opportunity

We're hiring a Business Operations Support specialist to own the operational backbone of a fast-growing influencer marketing and talent management company — serving as the critical data bridge between talent, operations, and accounting across high-volume campaign workflows. In this role, you'll keep Monday.com boards accurate and actionable, own contract status tracking from Pending through execution approval, verify deliverables against contract terms, and route content approvals, ensuring every campaign moves forward cleanly and every invoice reflects completed work. As you grow into the role, you'll take on contract information management, project team accountability communications, and help shape the team's Monday.com best practices to build boards that everyone can trust and rely on.


What Your Day-to-Day Will Look Like

  • Data Bridge & Invoicing: Serve as the connection between the talent team and accounting — verify campaign and talent data before invoicing, confirm all deliverables are marked Complete to trigger accurate auto-invoicing, and monitor the Invoice Status pipeline to flag stalled or overdue payments.
  • Monday.com Real-Time Maintenance: Respond to team requests to update Monday.com in real time — mark tasks complete, add or edit line items, shift dates, coordinate reminders, and follow up with stakeholders as needed.
  • Data Integrity & QA: Proactively monitor boards to catch and correct outdated or missing data before the team flags it; investigate discrepancies and self-resolve where possible.
  • Contract & Signature Tracking: Own contract status across every active campaign — sweep statuses from Pending through final execution approval, chase outstanding signatures from talent and brands, flag campaigns entering content production before FEA is reached, and upload signed contracts once complete.
  • Deliverable Verification: Check incoming deliverables against contract terms — confirming asset and video counts match what was promised — before sign-off.
  • Content Approval & Creator Board Upkeep: Route submitted content to the appropriate approver, track approval status in Monday.com, and keep Creator Board entries up to date with talent manager assignments, coverage plans, management fees, and contact information.


What You Bring

  • Microsoft Office Expertise: 3+ years of hands-on experience with Microsoft Office required.
  • Operations & Admin Background: 2+ years as an EA, Biz Ops Assistant, or supporting a Project Manager required.
  • Project Management Platform Experience: Intermediate experience with Monday.com or a comparable project management platform — Monday.com strongly preferred.
  • Detail Orientation: Strong attention to detail and comfort keeping data accurate and current across multiple stakeholders in talent, ops, and accounting.
  • High-Volume Support Mindset: Comfortable working in a non-client-facing, high-volume support role with competing priorities.


Bonus Points if:

  • Familiarity with invoicing or accounting workflows
  • Exposure to influencer or talent agency contract terms and language (redlines, deliverable compliance)
  • Experience with DocuSign or a comparable e-signature platform
  • Background working as a project manager
