The Opportunity

We are seeking a sharp, organized, and proactive Events and Marketing Operations Specialist to join a fast-paced AI startup with a packed event calendar. This role serves as the operational backbone of an extensive events program, managing roughly 7–10 events per month, including VIP dinners, side events, and virtual webinars.

The ideal candidate is a high-initiative "generalist" who can take a task list and run with it. You will lead logistics end-to-end—from vendor negotiation and booth setup to speaker prep and budget tracking. What Your Day-to-Day Will Look Like

  • End-to-End Event Ownership: Run point on everything event-related, from early-stage planning and negotiating with conference organizers to on-site execution and post-event debriefs.
  • Logistics Management: Handle booth setup, shipping coordination, badge registrations, hotel blocks, and all conference portal requirements.
  • Vendor Relations: Manage partnerships with exhibit houses, printers, A/V teams, swag suppliers, and shipping partners.
  • VIP & Side Events: Plan high-touch VIP dinners and happy hours by sourcing venues, managing headcounts, and coordinating with Sales/BDR teams to ensure the right attendees are in the room.
  • Speaker Coordination: Partner with conference organizers to submit session titles, descriptions, bios, and logos. Tweak existing slide templates to ensure brand alignment for every session.
  • Sales & Marketing Collaboration: Support pre-event outreach and post-event follow-up by making existing templates "event-ready" for the outreach teams.
  • Internal Participation: Coordinate team travel, staffing schedules, event briefings, and internal team dinners.
  • Inventory & Budget Tracking: Maintain tight control over booth assets, signage, and swag inventory. Track event ROI and expenses, coordinating with reps to capture accurate attribution.


What You Bring

  • Experience: Proven background in external event marketing and logistics (conferences, trade shows, or sponsored events) involving complex vendor coordination.
  • Proactive Mindset: High initiative with the ability to build light processes where none exist and manage high-volume tasks independently.
  • Communication: Strong written communication skills and a high degree of organizational detail.
  • Technical Savvy: Proficiency in Google Workspace and a strong willingness to learn new AI tools and systems quickly.
  • Judgment: Excellent sharpness and good judgment—the ability to make smart decisions in a fast-moving environment.
  • Availability: Ability to start on PST hours before eventually shifting to EST.


Bonus Points if:

  • You have an aesthetic taste or strong design sensibility.
  • You have experience using Figma.
  • You have a background in content creation or organic social media for event marketing.


Salary Range: $5.00 - $7.50/hour (Final offer based on skills and experience matched to role requirements)
