The Opportunity

We're hiring a Pod Operations Assistant to be the operational backbone of a fast-growing ad tech platform connecting advertisers and media partners to drive measurable performance across mobile channels — owning data reconciliation, client reporting, creative asset management, and cross-functional coordination to ensure every campaign runs accurately, on time, and at scale.


What Your Day-to-Day Will Look Like

  • Data Reconciliation & Reporting: Reconcile data across partner platforms before any client-facing report goes out; flag discrepancies to the team and developers; prepare recurring client reports (daily/weekly), bi-weekly meeting materials, and mid-month and month-end projection worksheets highlighting deltas and risk/opportunity.
  • Data Operations & Tracking: Pull, clean, and organize data from multiple internal and external partner platforms on a daily — and sometimes hourly — cadence during campaign scale-ups; maintain source-of-truth trackers and build pod- and partner-level rollups with wins, blockers, variance notes, and next actions.
  • Creative Asset Management: Intake creative assets from clients and manage Google Drive distribution — routing only the correct assets to each partner based on active geos and countries; maintain naming conventions, own data hygiene and audit trails, and archive former client artifacts per SOP.
  • Client & Partner Communications: Own external email and Slack communications with clients and partners, including campaign launch and pause notifications; adjust tone for each audience; triage quick-turn requests with fast acknowledgements and clear ETAs, delivering ahead of deadlines when possible.
  • Billing & Submissions: Verify billing submissions for completeness; chase missing information; fix formatting; submit on time; coordinate late or missing submissions with Delivery/AMs and maintain a simple aging view and weekly nudge list.
  • Executive & Meeting Support: Partner with the director to prep exec-ready views (sheets/slides) and recurring meeting packets; coordinate recurring ceremonies, working sessions, and internal/external calls — including notes and follow-ups.
  • AI Tools & Process Improvement: Use Claude and GPT daily to build artifacts and lightweight tools that reduce manual steps and errors; create and maintain simple SOPs and checklists for repeatable workflows; suggest improvements to templates, trackers, and handoffs to prioritize speed, accuracy, and clarity.


What You Bring

  • AI Fluency: Daily, hands-on comfort using Claude and GPT to build artifacts, lightweight tools, and streamlined workflows — this is a core requirement, not a nice-to-have.
  • Ad Tech Background: Working familiarity with the ad tech or digital marketing ecosystem; able to pick up industry terminology and abbreviations quickly with minimal hand-holding.
  • Attention to Detail & Data Skills: Exceptional attention to detail, especially with numbers and data reconciliation; 3+ years of hands-on experience with Microsoft Office/Google Workspace including advanced Google Sheets/Excel (lookups, pivots, basic charts).
  • Communication & Stakeholder Management: Strong written and verbal communication for direct B2B client and partner contact; experience supporting multiple stakeholders in an EA, biz ops, project coordinator, or client-facing agency role.
  • Operational Reliability: Operating style defined by fast acknowledgements, clear deadlines, dependable follow-through, and excellent written notes; highly proactive and reliably available — comfortable raising a hand to take on work before being asked.
  • Project & CRM Tools: Comfortable with project management tools (Asana or similar) for tasks, follow-ups, and stakeholder pings; CRM basics including Salesforce data entry and simple pulls.


Bonus Points if:

  • You have SharePoint or Google Drive organization experience with tidy folder hygiene
  • You've worked with billing or accounting tools such as NetSuite or similar
  • You're comfortable with Looker, Metabase, or Tableau-style dashboards at a viewer level
  • You have familiarity with mobile ads or performance UA terminology
