The Opportunity
We are seeking a highly organized, detail-oriented Email Marketing Project Coordinator to serve as the operational heartbeat of our email campaigns. This role is a unique hybrid of client success, project management, and technical quality assurance. You will be responsible for managing high-priority inbound leads, coordinating cross-functional tasks in Asana, and ensuring every email that leaves our "shop" is error-free and high-performing. If you thrive on keeping projects on track and possess a "zero-defect" mindset for email rendering and functionality, this is your ideal role.
What Your Day-to-Day Will Look Like

Lead & Client Management: Act as the first point of contact for incoming lead emails and client inquiries in HubSpot, ensuring professional replies within 1 business day.

Project Orchestration: Oversee Asana project boards, assigning tasks to creative and technical teams while proactively resolving workflow bottlenecks to meet strict deadlines.

Rigorous QA: Test email designs for functionality, rendering, and accuracy across devices before they reach the client. You are the final gatekeeper for quality.

Stakeholder Updates: Provide weekly project status updates to clients and internal leadership, maintaining high transparency and trust.

Technical Validation: Work across platforms such as Mailchimp to ensure campaigns meet industry standards and follow email marketing best practices.

Campaign Optimization: Collaborate with the creative team to identify and correct template errors, ensuring optimal performance and deliverability.

Documentation: Maintain accurate project records, contact logs, and status reports within the CRM and project management tools.
What You Bring

Experience: 1–3 years in email marketing, client coordination, or project management (ideally within an agency setting).

Tool Proficiency: Hands-on familiarity with HubSpot (or similar CRM), Asana, and Mailchimp (or similar ESP).

QA Instincts: A basic understanding of email design, testing protocols, and quality control best practices.

Communication: Exceptional written and verbal English skills; you can manage professional client relationships with ease and clarity.

Detail Obsession: A strong ability to manage the minute details and deadlines for multiple high-priority clients simultaneously.

Problem-Solving: A proactive approach to identifying risks in a project timeline and implementing solutions before they impact the client.
Bonus Points if:
- You have a background in Executive Assistance (EA) or high-level administration.
- You have deep experience in Email Deliverability, segmentation, or A/B testing.
- You have a basic understanding of HTML for email troubleshooting.
- You have prior experience working in an email marketing agency environment.
