The Opportunity
We are looking for a high-level Marketing Project Management Assistant to act as the central nervous system for a complex, high-volume performance marketing team. This is not a typical administrative role; we need a seasoned project manager capable of juggling hundreds of moving parts across a large organization.
You will be responsible for bridging the gap between marketing, risk, legal, and compliance teams, ensuring that every campaign and partnership is documented, compliant, and executed on time. From managing executive agendas to overseeing sensitive data privacy filings and partner enablement, you will provide the structure that allows our team to scale. What Your Day-to-Day Will Look Like

Executive Coordination: Manage daily agendas (top-of-day emails, meeting prep, and task reminders) and prepare detailed dossiers for key leadership meetings.

Project Lifecycle Management: Organize complex project plans, tag relevant stakeholders, request missing information, and ruthlessly prioritize tasks to ensure 100% execution.

Compliance & Creative Ops: Liaise with external creative teams to ensure assets meet strict brand standards; submit and track tickets for legal, compliance, and regulatory audits (MRA).

Data & Privacy Stewardship: File privacy forms (e.g., P2S), complete annual privacy checks, and manage data initiatives to ensure all shared information is documented and secure.

Reporting & Automation: Execute weekly data entry and ad-hoc exports from platforms like Facebook and Tableau; identify opportunities to automate manual spreadsheet tasks.

Partner Enablement: Coordinate with partners like Google and Facebook to translate technical model details for internal teams; manage POs, invoices, and contract reviews with legal/risk departments.

Task Accountability: Join meetings to capture action items, assign them within the PM tool (ClickUp), and follow up with stakeholders to ensure completion.
What You Bring

Experience: 4+ years of professional project management experience, specifically within large organizations.

Stakeholder Mastery: A proven track record of managing hundreds of projects simultaneously while navigating a web of cross-functional stakeholders.

Communication: Exceptional verbal and written English skills; you must be able to translate complex requirements between technical and non-technical teams.

Detail & Follow-through: A "zero-fail" mentality when it comes to deadlines, documentation, and action-item tracking.

Technical Adaptability: Ability to quickly master new tools and workflows; you are comfortable working autonomously after initial training.

Logistics: Ability to work consistently during EST hours.
Bonus Points if:

You have a background or work history in the Financial Services or Fintech space.

You have 2+ years of experience in Performance Marketing or a related creative field.

You have intermediate to advanced skills in Google Sheets/Excel (for data manipulation and reporting).

You are highly proficient in ClickUp or comparable project management software.
