The Opportunity
We're hiring a Data Operations Specialist to join the Strategic Operations & Automation team at a fast-growing professional services firm built around a senior fractional talent network — owning data hygiene, systems reliability, and the finance and ops workflows that keep the business running smoothly. The role works across HubSpot, Clockify, Clay, an internal database, and Hex, spanning routine audits, ad hoc fixes, and recurring data processes. If you find satisfaction in clean data, love digging into why something is broken, and can move quickly without cutting corners, this role is for you.
What Your Day-to-Day Will Look Like

Data Hygiene & Cleanup: Own day-to-day data hygiene across HubSpot, Clockify, Clay, and the internal database — handling duplicate companies and contacts, workflow issues, data backfills, and ad hoc fixes

Clockify Operations: Investigate and resolve Clockify discrepancies including missed hours, unarchiving projects, one-off pulls, and general updates

Sync Monitoring & QA: Support backend data QA and monitor HubSpot-to-database sync scripts to ensure data flows accurately

Recurring Data Reviews: Own the weekly deal review process and other recurring weekly and monthly data audits

Finance Reporting: Maintain Google Sheets and Excel-based finance reports covering AR collections, talent payments, hours overage review, invoicing, and contract referrals

Onboarding & PO Tracking: Support new client onboarding from an operational and data standpoint, develop a purchase order tracking process, and handle finance admin tasks like templatized collections outreach, talent hours follow-ups, and HubSpot dashboard creation

Automation Monitoring: Monitor Zapier automations and AI workflow tools to ensure processes run correctly and flag issues early
What You Bring

Detail-Oriented Data Mindset: Strong attention to detail and a natural instinct for data quality — you diagnose why something is broken, not just fix what you're told

CRM Hands-On Experience: Hands-on experience with HubSpot (workflows, records, reporting) strongly preferred; comparable CRM experience with Salesforce or Zoho considered — you can read a workflow and understand what it's actually doing

Spreadsheet Proficiency: Proficiency in Google Sheets and comfort with Excel for finance-specific reporting tasks

Tool Fluency: Familiarity with Clockify, Clay, Hex, or similar — or the proven ability to get up to speed fast; plus an aptitude for AI tools and automation platforms like Zapier

Async, Self-Directed Work Style: Comfort working independently on ambiguous, evolving tasks in a fast-paced, fully remote environment; you over-communicate, flag issues early, document your work, and know when to ask for help

Ownership Mindset: A collaborative, ownership-oriented approach to your work
