The Opportunity
We are seeking a highly organized and process-disciplined Event Logistics & Operations Coordinator to support our client's community marketing team. Supporting a high-volume event program of roughly 300 events annually, this role is the operational engine that ensures every piece of the puzzle—from swag and print materials to shipping and vendor outreach—moves like clockwork. This is a support-heavy, execution-focused role designed for someone who finds professional satisfaction in "closing the loop," maintaining pristine trackers, and mastering complex fulfillment workflows.
What Your Day-to-Day Will Look Like

Shipping & Fulfillment (50–60%): Execute orders for branded merchandise and print materials across platforms like FedEx and Staples. Track every shipment from placement to delivery and provide real-time updates to the team.

Inventory & Logistics: Maintain detailed logs of orders, quantities, costs, and tracking numbers. Update inventory spreadsheets and proactively flag when items need replenishment.

Administrative Coordination (20–25%): Manage the events team calendar, schedule internal planning meetings, and maintain project trackers to ensure no deadlines are missed.

Vendor & Venue Support (10–20%): Conduct initial outreach to approved venues or vendors using templates. Assist with administrative tasks on event platforms such as Cvent within defined permissions.

Financial Coordination (10–15%): Track event-related invoices and expenses. Partner with internal stakeholders and AP to ensure vendors are paid on time, and costs are accurately reconciled.
What You Bring

Execution Expertise: Experience in logistics coordination, fulfillment support, or a similar execution-heavy administrative operations role.

Spreadsheet Mastery: Strong Excel skills with a proven ability to maintain clean, accurate, and complex trackers.

Process Discipline: A high degree of comfort following defined SOPs and templates consistently without needing constant redirection.

System Fluency: Experience working across multiple third-party tools (shipping, ordering, or project management platforms) while maintaining 100% accuracy.

Communication: Strong written English for professional internal updates and basic vendor outreach.

Reliability: The ability to manage a high volume of repeatable tasks under deadline pressure.

Availability: Ability to work U.S. business hours with overlap for Mountain Time (MT).
Bonus Points if:
- You have hands-on experience with Cvent, Bizzabo, or Swoogo.
- You are familiar with third-party fulfillment platforms (Staples, swag vendors, FedEx).
- You have prior experience supporting hospitality or high-volume event operations.
