The Opportunity

We're hiring an Executive Assistant to provide direct support to the founder of a multi-business real estate and operations enterprise — someone who is highly organized, proactive, discreet, and experienced enough to act as a trusted right hand without needing constant direction. You'll manage the executive's inbox and calendar, monitor for action items and open loops, follow up with internal and external contacts via email, WhatsApp, and phone, support LinkedIn engagement and warm lead follow-up, and maintain task and project visibility across ClickUp, HubSpot, and Google Workspace — learning the executive's communication style and business context over time to provide increasingly proactive, high-quality support that gives meaningful time back every week.


What Your Day-to-Day Will Look Like

  • Inbox & Calendar Management: Manage the executive's Gmail inbox — organizing emails, flagging priorities, drafting responses, and handling low-complexity replies independently; manage Google Calendar including scheduling meetings, coordinating appointments, resolving conflicts, and keeping the day organized
  • Follow-Up & Task Tracking: Monitor emails and tasks for outstanding action items; follow up with internal and external contacts via email, WhatsApp, or phone to ensure requested items, reports, and next steps are completed without reminders; maintain task lists and keep the executive on top of priorities, deadlines, and open loops in ClickUp
  • External Communications: Make phone calls on behalf of the executive for scheduling, reminders, confirmations, and professional follow-ups; communicate with external contacts in a polished, professional manner as a direct representative of the executive
  • LinkedIn & Business Development Support: Support LinkedIn activity and warm lead follow-up by monitoring engagement, assisting with DMs, and maintaining social channel responsiveness; support business development and operational workflows in HubSpot as needed
  • Operations & File Management: Assist with expense reports and basic expense tracking in QuickBooks; organize files, documents, and information across Google Drive; support project and task visibility in ClickUp and maintain organized records across all relevant platforms


Salary Range: $7.50 - $9.50/hour (Final offer based on skills and experience matched to role requirements)


What You Bring

  • Executive Support Experience: 3+ years as an Executive Assistant, Administrative Assistant, Chief of Staff support, or similar role supporting a founder, CEO, or senior executive — with strong inbox and calendar management experience and a track record of keeping busy leaders organized and on track
  • Communication Excellence: Excellent written English with the ability to draft clear, polished, professional emails; strong verbal communication skills, and genuine comfort making phone calls on behalf of an executive without hesitation
  • Proactive Follow-Through: Highly organized, detail-oriented, and reliable — you identify open loops and move tasks forward without constant reminders, and you don't let requests or follow-ups disappear into the void
  • Discretion & Judgment: Comfortable managing confidential information with professionalism; strong judgment around when to respond directly, when to escalate, and when to ask for clarification — operating independently in a fast-moving environment
  • Availability & Adaptability: Available to work 9:00 AM–6:00 PM Eastern Time with flexibility for urgent issues; calm under pressure, high ownership mentality, and able to adapt quickly to shifting priorities and the executive's evolving preferences


Bonus Points if:

  • You have experience supporting founders, entrepreneurs, agency owners, or real estate operators
  • You have experience with LinkedIn engagement, DM follow-up, or light social selling support
  • You have hands-on experience using HubSpot for CRM, business development, or customer communication workflows
  • You have experience coordinating across multiple businesses or business units simultaneously
  • You are familiar with real estate, leasing, tenant communication workflows, or property operations
  • You have experience creating or improving SOPs for recurring executive workflows
