The Opportunity
We’re hiring a Retail & Wholesale Operations Coordinator (PH & LATAM) to support the growing Luxury, Specialty, and QVC wholesale business of a fast-growing DTC cookware and home goods brand scaling across international markets — working closely with the Business Development team to keep retailer operations running smoothly across approximately 30 accounts. You’ll sit at the center of product information, retailer assets, promotional planning, account communications, and cross-functional follow-up; managing large volumes of detailed product and account data across multiple markets, currencies, and retailer requirements; and bringing a process-improvement mindset that helps the business scale without proportionally scaling the manual work. This is an operational wholesale role, not a traditional sales or SaaS account management position — it rewards precision, initiative, and the ability to figure things out when processes are still evolving.
What Your Day-to-Day Will Look Like

Wholesale Account Operations: Support day-to-day operations across Luxury, Specialty, QVC, and other retail partners — preparing and maintaining retailer item setup forms, product specifications, quote sheets, and account-specific documentation across approximately 30 accounts and multiple international markets.

Retailer Assets & Product Information: Coordinate product imagery, copy, specifications, and other assets required by retail partners; submit internal asset requests, track progress, and ensure final materials are delivered accurately and on time; maintain organized repositories across Google Drive, Dropbox, Airtable, and related tools.

Promotions & Commercial Support: Maintain promotional calendars across U.S. and international retail markets; track promotional pricing, discount depths, and retailer-specific promotional periods; support retail math calculations related to promotional funding and margin support; and build and maintain accurate Excel/Google Sheets models using formulas and structured data.

Account Communication & Follow-Through: Support communication with retail partners around product setup, promotions, assets, and operational questions; join select retailer and internal meetings to capture notes and drive follow-up; and proactively seek information across internal teams when questions or issues arise — escalating strategic or sensitive matters appropriately.

Process Improvement & AI: Identify repetitive or manual workflows that can be standardized, streamlined, or automated; improve existing trackers, templates, and documentation; and use AI tools where appropriate to accelerate spreadsheet work, data organization, research, and workflow optimization.
What You Bring

Wholesale or Retail Operations Experience: 2–4+ years of experience supporting wholesale, retail, B2B, merchandising, sales operations, or a similar physical-goods environment — with a strong understanding of how physical products move from brand to retailer.

Attention to Detail & Data Management: Exceptional attention to detail when working with pricing, product specifications, retailer forms, and large datasets; strong Excel and/or Google Sheets skills including formulas and structured data organization.

Organization & Multi-Account Management: Highly organized with the ability to manage multiple accounts, SKUs, deadlines, and concurrent requests simultaneously without losing track of details — creating visibility around outstanding actions and dependencies.

Communication & Resourcefulness: Excellent written communication and confidence corresponding with external retail partners; resourceful and proactive when processes or information are incomplete; comfortable operating independently while knowing when to ask questions or escalate.

Tools & Adaptability: Strong working knowledge of Google Workspace and Slack; comfortable working in a fast-growing environment where priorities and processes continue to evolve.
Bonus Points if:
- You have experience within cookware, kitchenware, home goods, apparel, footwear, or another hard-goods/physical product category.
- You have experience supporting major department stores, luxury retailers, specialty retailers, or international wholesale partners.
- You have experience supporting global markets across the U.S., UK, Canada, Europe, or Australia.
- You have familiarity with Airtable and Dropbox.
- You have experience using AI tools such as ChatGPT, Claude, or Gemini to improve operational workflows.
- You have experience helping create or improve processes within a scaling business.
Salary Range: $8.00 - $10.00/hour (Final offer based on skills and experience matched to role requirements)
